Behavioral health and therapy practices
Scheduling, intake, chart paperwork, and reporting around your practice management system. HIPAA-aware by default: we work under a BAA and keep patient data in services built to protect it.
Most growing businesses run on five or six systems that were never built to talk to each other, so people fill the gaps by hand. We connect what you already use, automate the busywork in between, and build what is missing.
Today: your team is the integration. With Verbys: data moves on its own, and your team gets its time back.
None of these show up on an invoice, but together they cost more than most software does. If two or more sound like your week, we should talk.
We type the same thing into three systems.
Double entry eats hours and quietly breeds mistakes.
Month-end reports take a whole day.
The numbers live in four places, so someone stitches them together by hand.
If one person is out, nothing moves.
The process lives in someone's head instead of in your systems.
Our software almost fits.
It does most of the job, and the rest lives in a spreadsheet next to it.
Nobody trusts the numbers.
Every tool tells a slightly different story about the same customer.
New hires take weeks to learn the workarounds.
The workarounds have quietly become the process.
Four steps, each quoted before it starts. You can stop after any of them and still keep everything we made.
We chart every tool, every hand-off, and where the hours go. You get a clear map, a priority list, and a fixed quote for the work. Useful even if you stop here.
Fixed price, quoted after a callWe link the tools you keep so data moves on its own: syncs, automations, alerts, and the custom APIs that tie them together.
Where nothing off the shelf fits, we build the missing piece: a portal, a dashboard, or an internal system made for how you work.
We keep it all running for a monthly fee: monitoring, fixes when a vendor changes something, and steady improvements.
It starts with a free one-hour consultation. Book yours
Not every problem needs custom software. Here is how we decide, and we will tell you which one fits even when it is the smaller project.
Keep what works and link it up, so information flows between systems without anyone copying it.
Add the missing piece around it: a custom form, a report, a portal, or an automation that fills the gap.
Build a system around how you actually work, and move your data over without losing history.
// most clients start with Connect
Within two business days we will reply with how we would automate it: the approach, the tools, and the rough shape of the build. Free, with no strings attached. Prefer to talk it through? Book a free one-hour consultation instead.
We have done this work in a few industries in particular, and we bring what we learned to every new one.
Scheduling, intake, chart paperwork, and reporting around your practice management system. HIPAA-aware by default: we work under a BAA and keep patient data in services built to protect it.
Enrollment, waitlists, rosters, billing, and coach follow-up in one flow instead of five.
Map-first views of the market, owner and deal tracking, and the sheets and CRMs that feed them.
Client intake, document workflows, reporting, and websites that hold up when it matters.
A few things we have shipped lately. Our clients stay anonymous and the details stay between us. Ask, and we will walk you through the parts that matter to you.
A family therapy practice was handling scheduling, chart paperwork, and reporting by hand. We built a set of small tools that plug into the systems they already use, so most of the admin now takes care of itself. New front-desk staff even train on a hands-on scheduling exercise before they go live.
The same practice had years of inquiries and appointments locked inside its systems, one of which offers no export at all. We pulled the data out and turned it into answers: where to open the next office, why some inquiries never become clients, and where clinicians' hours actually go.
A youth sports academy had signups, waitlists, and rosters living in inboxes and spreadsheets. We built the enrollment flow, a live staff roster, a billing ledger for a club program, and a follow-up system that keeps each coach's students private.
An investment firm was tracking properties, owners, and contacts across spreadsheets and data exports. We built a private, map-first workspace to filter the market, draw an area, and pull the list, plus a sync that keeps their property list and website listings in step and flags anything that needs a human look. A deal sheet and CRM are on the way.
A consultancy's website was hacked and no clean copy survived. We recovered the content from public archives, rebuilt the site from scratch, and put it back to work for the business.

Anything else, ask us directly. We reply within one business day.
Usually not. Most of the time the right answer is to connect what you already have and fill the gaps around it. We only suggest replacing something when it costs you more than it saves.
Many tools have one even when it is not advertised. When one truly does not, there are usually other routes, such as scheduled exports, webhooks, email parsing, or the vendor's partner program. We confirm what is possible during the Map, before you commit to anything bigger.
The Map is a fixed price that we quote after a free call. Connect and Build are quoted from what the Map finds, and Operate is a flat monthly fee. You always know the price before a step starts.
Yes. We sign a Business Associate Agreement, build on HIPAA-eligible services, and keep patient information out of any tool that cannot protect it.
You do, from day one. It runs in your accounts, and you get the documentation to keep it going with or without us.
That is what Operate is for. We watch the connections, fix them when a vendor changes something, and tell you before it becomes your problem.
What should your software do that it does not do today? Write one line. We reply within one business day with questions, not a sales deck.
Thanks. We will read it closely and come back with questions.
